COURSE ATTENDANCE TERMS AND CONDITIONS
The following "Course Attendance Terms and Conditions" govern participation in all Integrated Pelvic Care ("IPC") Continuing Education Courses, effective from August 18, 2024. By choosing to participate in any IPC Continuing Education Course, participants are automatically agreeing to these "Terms and Conditions of Attendance". It is important to note that failure by the registrant to read or to fully understand these terms and conditions does not:
A. Invalidate these terms and conditions, in whole or in part,
B. Exempt the registrant from their obligation to confirm that the content of any IPC course they intend to attend falls within the professional scope of practice as defined by their state's regulatory board, nor
C. Affect the validity or enforceability of the "Release of Liability" clause within these terms and conditions, which is clearly indicated by the text "Release of Liability" at the start and "End of Release of Liability" at the conclusion of that section.
ELIGIBILITY TO ATTEND INTEGRATED PELVIC CARE CONTINUING EDUCATION COURSES
Integrated Pelvic Care continuing education seminars are designed specifically for physical therapists, occupational therapists, physical therapist assistants, occupational therapist assistants, registered nurses, and other rehabilitation professionals. The content is strictly intended for application within the scope of the learner's licensing and regulatory boundaries. Individuals who are not licensed or regulated, except as part of a specific care plan, should not participate in IPC continuing education courses aimed at prescriptive and/or rehabilitative care providers. It is the responsibility of each registrant to verify that the content of any chosen IPC course aligns with the professional scope of practice as defined by their respective state regulatory board.
By consenting to the Integrated Pelvic Care Continuing Education Course Registrant Terms and Conditions, the registrant confirms having reviewed all pertinent information concerning their professional scope of practice and asserts that they are practicing within the limits of their license. Individuals who do not hold state-approved licenses to provide prescriptive or medical care are explicitly prohibited from participating in IPC continuing education courses, irrespective of any other qualifications, personal or professional backgrounds, or experiences they may possess. Should an individual register and pay for an IPC course and subsequently be found ineligible to attend, they will receive a full refund of their registration fees. However, these individuals will not be compensated for any ancillary expenses incurred, such as travel costs or third-party expenses, beyond the registration fee.
CANCELLATION BY THE ORGANIZER IPC
Integrated Pelvic Care is dedicated to the successful execution of all scheduled courses. In the event of unforeseeable circumstances beyond the control of IPC (including but not limited to natural disasters, war, terrorism, labor strikes, flight cancellations, or other travel-related disruptions that prevent an instructor or teaching assistant from timely arrival, or severe illness or death of the instructor or teaching assistant), IPC will make a good faith effort to conduct the scheduled course or provide a suitable alternative. Nevertheless, should a course be unable to proceed due to any such unforeseeable events:
A. Registrations that are eligible for a refund (where the course is scheduled more than 30 days in the future AND the registration was made less than 60 days prior) will remain eligible. Please refer to the section "Cancellation and Receiving a Refund" for details.
B. IPC shall not be held liable for any expenses or costs incurred by registrants in relation to the canceled course, including but not limited to travel, accommodation, lost wages, airfare, ground transportation, meals, or any other costs associated with attempting to participate in a canceled event.
CANCELLATION BY HOST SITE
Integrated Pelvic Care is dedicated to the successful delivery of the courses outlined in our schedule. IPC depends on our host sites to collaborate in conducting the events at their facilities. In situations where a Site Host cancels due to unforeseeable circumstances beyond the control of Integrated Pelvic Care, Inc. (including but not limited to: natural disasters, war, terrorism, labor strikes, or any other factors leading to the shutdown of host facilities), IPC will make a good faith effort to conduct the planned course or offer a suitable alternative. If the course cannot proceed due to any such unforeseeable events (or other unforeseen circumstances not listed), the following policies shall apply:
A. All enrolled participants will receive a credit for the full value of their registration, valid for any future course event within two years from the date of the canceled event.
B. IPC will not be responsible for any costs incurred by registrants in relation to the canceled course, including travel, accommodation, lost wages, airfare, ground transportation, meals, or any other related expenses.
RIGHT TO REFUSE SERVICE
Integrated Pelvic Care is committed to fostering a positive and constructive learning environment for all participants. To this end, IPC reserves the right to refuse service to any registrant who exhibits behaviors that may disrupt the educational setting. These behaviors include, but are not limited to:
Disruptive conduct that interferes with the learning experience of others
Verbal threats directed at instructors, lab assistants, site hosts, or other attendees
Non-compliance with instructors' directions during practical lab sessions
Actions that pose a danger of physical or mental harm to oneself or others
Non-payment of registration fees prior to the commencement of a course
Furthermore, IPC maintains the discretion to deny service for any additional behaviors deemed by the course instructor to significantly detract from the learning experience of other attendees. Anyone denied service will be required to vacate the course premises immediately and will not be permitted to return until after the course has concluded. If an individual who is asked to leave remains on the premises, course instructors or lab assistants will seek the assistance of the hosting institution’s security services or local law enforcement to ensure their removal.
Course instructors are empowered to implement these terms and conditions as they deem appropriate to maintain an optimal educational environment for all IPC participants.
Participants who are asked to leave a course before its completion will not be eligible for a refund of any registration fees, in part or full. Those removed may contact IPC to request a custom certificate of completion, documenting the actual number of continuing education hours attended before their removal.
REFUND POLICY AND CANCELLATION PROCEDURES
A participant may cancel their registration for a given course and receive a refund (less a 10% administrative fee) if they notify Integrated Pelvic Care of their desire to cancel and receive a refund before the earliest of the following days:
1. The 60th day following the original registration date.
2. The 30th day preceding the start date of the course for which they originally registered.
The 10% administrative cancellation fee is strictly non-negotiable. For participants wishing to cancel two or more registrations, each subsequent cancellation after the first will incur a $50 administrative cancellation fee. As examples:
A. On March 5th of a given year, a participant registers for a course event starting on July 5th of the same year. If the participant contacts IPC on April 20th to request a refund, they are eligible for a refund because the course starts in more than 30 days (April 20th to July 5th) and the refund request was made within 60 days of the registration date (March 5th to April 20th).
B. On March 5th of a given year, a participant registers for a course event starting on July 5th of the same year. If the registrant contacts IPC on May 20th to request a refund, they are NOT eligible for a refund. Although the course starts in more than 30 days (May 20th to July 5th), more than 60 days have elapsed between the registration date and the refund request date (March 5th to May 20th).
C. On March 5th of a given year, a participant registers for a course event starting on July 5th of the same year. If the registrant contacts IPC on June 20th to request a refund, they are NOT eligible for a refund. The course starts in less than 30 days (June 20th to July 5th), and the refund request was made more than 60 days from the registration date (March 5th to June 20th).
D. On March 5th of a given year, a participant registers for an event starting on May 5th of the same year. If the participant contacts IPC on March 20th to request a refund, they are eligible for a refund, because the course starts in more than 30 days (March 20th to May 5th), and the refund request was made within 60 days of the registration date (March 5th to March 20th).
E. On March 5th of a given year, a participant registers for an event starting on May 5th of the same year. If the participant contacts IPC on April 20th to request a refund, they are NOT eligible for a refund. Although less than 60 days have elapsed between the registration date and the refund request date (March 5th to April 20th), the course starts in less than 30 days (April 20th to May 5th).
F. On March 5th of a given year, a participant registers for an event starting on March 25th of the same year. If the participant contacts IPC on March 20th to request a refund, they are NOT eligible for a refund. Although less than 60 days have elapsed between the registration date and the refund request date (March 5th to March 20th), the course starts in less than 30 days (March 20th to March 25th).
CANCELLATION WITHOUT REFUND ELIGIBILITY
To cancel a registration and either transfer to a different course or convert their registration fees to credit, registrants must notify Integrated Pelvic Care before the commencement of the specific course-event for which they are registered. This notification must be provided via phone, voicemail, email, or website form submission. Once the first lecture of a course-event begins, registrants who have not communicated their intention to transfer their registration or convert it to credit are no longer eligible to do either, regardless of whether they attend the course-event or not. In essence, if a registrant pays for a course and either forgets to attend or decides to cancel/transfer without prior notification to IPC, they will not receive a refund nor will they be able to apply their registration fee towards a future course-event.
Participants may cancel their registration and transfer the fees to a future course without a financial penalty, provided this is done before the first lecture of the course starts. If the fee for the course to which a registrant wishes to transfer is higher than the fee from the original course, the registrant must pay the difference prior to confirmation of their registration for the new course. Conversely, if the fee for the new course is lower, Integrated Pelvic Care will convert the difference into a credit for the registrant, which can be used towards any future course-event.
TRANSFERABILITY OF REGISTRATION AND CREDIT BETWEEN INDIVIDUALS
Integrated Pelvic Care provides registrants the opportunity to cancel their enrollment and transfer said enrollment to another individual. This policy enables participants who are unable to attend a designated course the option to assign their registration to an alternative attendee, such as a colleague or professional peer. To effectuate this transfer, IPC mandates the execution of a written agreement, duly signed by both transferring parties, explicitly confirming their consent and understanding regarding the transfer of registration rights. It is incumbent upon the parties involved to independently manage all logistics associated with the transfer. IPC expressly disclaims any liability for disputes, losses, or complications that may arise during or consequent to the transfer process, and no representation or warranty, express or implied, is made regarding the completion or suitability of the transferred registration.
REGISTRATION AND PAYMENT OPTIONS
Integrated Pelvic Care (IPC) processes registrations on a first-come, first-served basis. A seat in any specific continuing education course is secured only after a registrant has fully completed the registration process. Integrated Pelvic Care is unable to reserve spots for individuals who have not completed the entirety of the registration steps. There are two primary methods available for potential attendees to register and settle payments for IPC courses:
1.ONLINE PAYMENT AND REGISTRATION
To register online, registrants must complete all steps of the registration process and submit payment in order to confirm their place in a given course. Our system will immediately send a confirmation email to the registrant upon proper completion of all registration steps including credit card payment. If a registrant completes the online registration process, submits their payment information through our website, and receives their confirmation email, their registration is complete and no further steps are required.
2.DEFERRED PAYMENT REGISTRATION
Should a prospective registrant desire to enroll in one of our courses but elect to defer payment until a later date, it is incumbent upon them to initiate contact with Integrated Pelvic Care (IPC) via email at info@ipc.health to request the issuance of an invoice. Upon such a request, an IPC representative shall promptly generate an invoice and dispatch the same, together with a confirmation number, to the registrant via email.
IPC offers the following payment modalities for registrations that remain in a contingent state pending full payment:
A. Physical Check: It is requisite for registrants electing this mode of payment to ensure that the physical check is received by IPC within a thirty-day period subsequent to the date the invoice was issued. Failure to comply with this stipulation will result in the registration maintaining a pending status.
B. Split Deferred Payment Online: Registrants may opt to partition the aggregate cost into three distinct online payments. The initial payment effectively reserves a provisional place within the course; however, definitive allocation of a seat in the course is contingent upon the fulfillment of the complete payment obligation. Should there be a failure to remit the full payment, thus resulting in a partial payment scenario, the accrued sum may either be transmuted into credit applicable toward future courses or refunded, pursuant to the stipulations delineated in our refund policy.
It is imperative to acknowledge that any checks submitted to IPC absent a corresponding invoice will be deposited into IPC’s banking institution. The act of depositing such checks does not constitute confirmation of registration nor does it guarantee a reservation of a seat within any course. In instances where a check is tendered for a course that has reached full capacity, IPC will undertake to either refund the amount or allocate it towards a subsequent course, contingent upon the preferences expressed by the sender.
RELEASE OF LIABILITY
The registrant acknowledges that they are engaging Integrated Pelvic Care (IPC) for the purpose of receiving instruction in physical therapy, rehabilitative, manual therapy, and exercise training. In consideration of these services, the registrant agrees to release IPC, along with its owners, agents, employees, and contractors, and to hold them harmless from any and all liability, claims, damages, actions, and causes of action for loss, damages, or injury to person or property, irrespective of the circumstances of occurrence and however caused. This includes, but is not limited to, all levels and forms of negligence by IPC, its owners, agents, employees, and contractors, whether directly or indirectly related to the instructional services provided, or the facilities and equipment utilized in association with these services.
The registrant further agrees to disclose all pertinent physical and medical conditions, limitations, and sensitivities to IPC course instructors. The registrant hereby releases and holds IPC, its owners, agents, employees, and contractors harmless from any liability, claims, damages, actions, and causes of action in any way relating to or arising from these disclosed conditions, limitations, or sensitivities. The registrant explicitly agrees that all participation in physical therapy, rehabilitative, and strength training instruction as well as the use of all associated facilities and equipment will be undertaken at their own risk. The registrant affirms that they are physically and medically capable of engaging in all activities and instructions provided.
The registrant understands and accepts that this release and waiver of liability constitutes a complete and unconditional waiver of their rights to pursue legal action and seek damages from IPC related to any claims emerging from their attendance at, and participation in, any IPC Continuing Education Course.
This agreement shall be governed by the laws of the Province of Quebec, Canada, to which the registrant consents as the sole jurisdiction and forum for any matters pertaining to this Release of Liability. If any part of this Release of Liability is deemed invalid by a court or other appropriate authority, the remaining provisions will continue to be enforceable and in effect.
INFORMATION COLLECTION, USE, AND SHARING
Integrated Pelvic Care (IPC) is the sole owner of the information collected on www.ipc.health or through other registration methods, such as email. IPC only accesses or collects information that registrants voluntarily provide via email or other direct forms of contact. IPC will neither sell nor rent this information to any third parties.
IPC will utilize a registrant's contact information solely to respond to their inquiries, including confirmation of registration for upcoming course-events. IPC will not share registrants' information with any third party, except as necessary to fulfill a registrant's request or to engage directly involved parties in specific course-events. This may include site hosts assisting IPC with event attendance confirmation or a subcontractor responsible for creating name-tags for those attending a course-event.
Unless requested otherwise by the registrant, IPC may occasionally contact registrants via email to inform them about specials, new products, or services.
All registrant information is securely stored in an online database to facilitate IPC’s tracking of course participation and to respond accurately to inquiries. Registrants can request a copy of their registration and payment history via email at any time.
Participants wishing to access or amend their personal information may contact the Chief Privacy Officer at zhen@ipc.health, in accordance with IPC’s Privacy Policy.
